Orbit keeps the writing experience in Orbit and the primary note files in Microsoft 365.
For team workspaces, that usually means SharePoint. OneDrive is available for personal notes, drafts, and smaller workspaces.
Why file-backed storage matters
Section titled “Why file-backed storage matters”Orbit stores notes as files your organization can inspect and move without Orbit-specific export steps.
It helps with:
- Portability across tools.
- Simple file-level backup and retention through Microsoft 365.
- Automation by scripts and connected AI clients.
- Readable content if someone opens a note file outside Orbit.
- Long-term ownership by the customer tenant.
Where files live
Section titled “Where files live”Each workspace points to one connected Microsoft 365 location:

What Orbit adds
Section titled “What Orbit adds”Orbit adds the wiki experience around those files: editing, comments, sharing, search, related notes, live collaboration, and optional AI client connections.
Use Orbit for normal writing and workspace organization. Use Microsoft 365 when you need to confirm storage ownership, retention, or recovery settings.
What users should know
Section titled “What users should know”- Write and review in Orbit for everyday work.
- Primary note files stay in Microsoft 365.
- Microsoft 365 controls workspace-level access.
- If a file is moved, renamed, or deleted directly in Microsoft 365, Orbit sees that change after refresh.

What admins should know
Section titled “What admins should know”Orbit works best when the connected location is treated as shared product data.
For team usage, prefer SharePoint workspaces because SharePoint has clearer ownership, lifecycle, and governance controls than a personal OneDrive folder.
Common questions
Section titled “Common questions”Can I edit a note outside Orbit?
Section titled “Can I edit a note outside Orbit?”You can inspect the note file outside Orbit. Editing outside Orbit can work for simple changes, but it bypasses comments, live editing, note sharing, and other Orbit behavior. Use Orbit for normal authoring.
Does deleting a note delete the Microsoft 365 file?
Section titled “Does deleting a note delete the Microsoft 365 file?”Orbit moves deleted notes through Recently Deleted behavior. See Versions, Export, and Recently Deleted.
Does sharing in Microsoft 365 affect Orbit?
Section titled “Does sharing in Microsoft 365 affect Orbit?”Yes. Workspace access follows Microsoft 365 permissions. If access changes in Microsoft 365, Orbit reflects those permissions.
