Versions, Export, and Recently Deleted

Version and recovery behavior depends on the workspace and your permissions.

Open version history from the note actions when you need to review earlier content.

Version history can help you:

  • Compare current content with an earlier version.
  • Find when a change was made.
  • Download a previous version.
  • Revert content when you have write access.

Orbit groups rapid consecutive saves into edit sessions so the history is easier to scan.

  1. Open version history.
  2. Select the version or edit session.
  3. Review the comparison.
  4. Choose revert if you have write access.
  5. Confirm the change.

Use download or export actions when you need a local copy of a note or file.

Export actions can include:

  • Downloading the workspace file.
  • Exporting a note to PDF.
  • Exporting a note to Word.
  • Opening the note source when your workspace allows it.

Export when you need to:

  • Send a snapshot outside Orbit.
  • Attach a note to a ticket or support case.
  • Archive a version for an approval process.
  • Inspect a local copy.

Deleting moves the note through Orbit’s Recently Deleted behavior. Deleted notes are not shown in normal folder views.

Recently Deleted actions require write access. Orbit notes can be restored from Recently Deleted when that option is shown.

  1. Open Recently Deleted from the sidebar.
  2. Find the deleted note.
  3. Choose restore.

Restored notes return to active workspace content.

Permanent delete removes the note from Recently Deleted. This requires write access. Only do this when you are sure the note is no longer needed and your organization policy allows it.

If a file was changed or deleted outside Orbit, open the Microsoft 365 location from workspace settings and use your organization’s recovery process.
