Share Notes
Use note sharing when someone needs access to one note instead of the whole workspace.
For workspace-wide access, use Permissions and workspace settings.
Current note shares are designed for people in your Microsoft 365 tenant. External guest sharing depends on your tenant policy and Orbit availability.
Open the share dialog
Section titled “Open the share dialog”- Open the note.
- Choose Share.
- Pick the kind of access you want to grant or copy.
The dialog is titled Share followed by the note name.
Share with a person
Section titled “Share with a person”- In To, search by name or email.
- Select the person.
- Choose a role.
- Grant access.
- Orbit copies the generated link when your browser allows it.
Direct note sharing fits reviewers, temporary collaborators, or stakeholders who should not browse the whole workspace.
The person can open the note after the share is applied and Microsoft 365 allows access.
Copy a link for existing access
Section titled “Copy a link for existing access”Use People with existing access when the audience already has permission through the workspace or Microsoft 365.
This creates no new access. It only gives people a route to the note.
Create an organization link
Section titled “Create an organization link”Use an organization link when anyone in your organization should be able to view or edit the note, depending on the role you choose.
Depending on tenant policy, options can include:
- View link.
- Edit link.
- Expiration date.
Copy a Teams-aware link
Section titled “Copy a Teams-aware link”When posting in Microsoft Teams, copy the Teams-aware link so the note opens inside Orbit for Teams if the app is installed.
Teams-aware links fit:
- Channel messages.
- Meeting chats.
- Review requests.
- Follow-up tasks.
Teams-aware links do not grant access. Recipients still need workspace access or a note-specific share.
Manage access
Section titled “Manage access”Open Manage access to review note-specific shares and revoke access you no longer need.
Revoking a note-specific share does not necessarily remove workspace-level Microsoft 365 access. If the person still has workspace access, they may still be able to open the note.
Common questions
Section titled “Common questions”Does a Teams-aware link grant access?
Section titled “Does a Teams-aware link grant access?”No. It only changes where the note opens. Recipients still need workspace access or a note-specific share.
Can I share with someone outside my organization?
Section titled “Can I share with someone outside my organization?”Do not assume external sharing is available. It depends on Microsoft 365 policy and Orbit availability in your tenant.
