Meeting notes

Meeting notes keeps your rough notes, transcript, and summary together in one block.

Type /meeting or choose Meeting notes from the + menu. You can write notes in the block before, during, or after your meeting.

Choose how to add the transcript:

  • Choose Teams meeting opens your calendar. Pick a meeting, then fetch its transcript once it is available in Teams.
  • Import transcript lets you paste text, upload a .vtt or .txt file, or use a Teams meeting link.

Orbit uses the only available transcript automatically. When several transcripts are available, it uses the scheduled time to find a match or asks you to choose.

After importing, Orbit summarizes the transcript alongside your rough notes when AI is available. The summary stays inside the meeting block, with separate Summary, Notes, and Transcript views. Headings follow the discussion, and action items appear as checkboxes.

Use the meeting settings to choose a summary format, add custom instructions, or change the language. If AI is unavailable, you can still read, copy, and download the transcript.

Choose Meetings in the sidebar to see every meeting block in the workspace in one place. The panel is available in the browser and in Teams on desktop; phones do not show it.

  • Each row is one meeting block, labelled by the block’s title rather than the page it lives on, grouped under Today, Past week, Past 30 days, and Earlier. Select a row to open the note at that block. Load more shows older meetings.
  • New note (+) creates a meeting note in the folder shown by Save notes to. Orbit remembers the folder per workspace. New notes inherit that folder’s access — the picker reminds you: “Shared with people who can access this folder.”
  • Upcoming lists your Teams meetings for today and tomorrow. The first time you expand it, choose Connect calendar to grant read-only calendar permission. Select a meeting for a preview with Create notes and Join Teams; if a note already exists for that meeting, the note opens instead.

The list updates as you and your teammates add, rename, or delete meeting blocks — no refresh needed.

Your account needs access to the meeting transcript in Teams. Orbit requests permission to list your calendar meetings and read Teams transcripts when you use those features.

If your organization has disabled transcript access for apps, the meeting block offers Open Teams admin center. Your IT admin can enable access there. You can also import a downloaded transcript.

Transcripts are saved as files alongside the note in your organization’s OneDrive or SharePoint library. They use the same note access controls. Orbit does not provide audio recording; saved transcripts and summaries from earlier recordings remain available.

A transcript upload can be up to 4 MB. Summaries use your organization’s AI allowance.

Connected AI clients (Claude, Codex, Copilot) can add a meeting block for you with the orbit_add_meeting_block MCP tool. The client summarises the meeting itself and hands Orbit the summary plus the transcript as plain copied text — no file or VTT formatting is needed. Orbit stores the transcript alongside the note and inserts the finished block, so it looks and behaves exactly like one created in the editor. A summary alone is enough; the 4 MB transcript limit applies.

The document-map read lists every meeting block in a note (meetings[]), and a client can never place a new block inside an existing one.
