Personal and team workspaces

Pick the right workspace type: personal for your own notes, team for shared knowledge.

Personal workspace — an Orbit folder in your own OneDrive, created automatically at first sign-in. It appears as My Workspace in the workspace switcher. It is private: nobody else sees it unless you share an individual note.

Team workspace — an Orbit document library in a SharePoint site. Everyone with access to the site has access to the workspace: the site’s Owners and Members can write, Visitors can read. There is no separate Orbit membership to manage — access is the SharePoint site’s access. See the permissions model.

In both cases every note is a portable .md file you can open directly in OneDrive or SharePoint — details in Where your notes live.

Use your personal workspace for:

  • Personal capture and drafts.
  • Drafts you’ll promote to a team workspace later — move or copy a note when it’s ready.
  • Anything only you need.

Use a team workspace for:

  • The team wiki: runbooks, project docs, decision records, meeting notes.
  • Anything more than one person should find without a share link.
  • Content that should outlive any single person’s OneDrive.

Who can create a team workspace? Anyone whose Microsoft account can manage the target SharePoint site. Orbit asks for the SharePoint permission just in time — see Create a team workspace.

Do readers need a license? No. Reading is free on both workspace types. Editing — on both types, personal included — needs an editor seat.

Can a team workspace use an existing site? Yes. You pick the SharePoint site; Orbit creates its document library inside it automatically if one doesn’t exist.
